Conference registration
IDP Education Pty Ltd (“IDP”) is the owner of the Australian
International Education Conference (“AIEC”). Epic Attractions Pty
Ltd (“Epic”) is a sub-contractor of IDP and will manage AIEC 2008
including all matters in relation to registration, accommodation
and payments on behalf of IDP. All enquiries in regards to these
matters should be directed to Epic at aiec@epicattractions.com. All
payments should be made to ‘Epic Attractions Pty Ltd’. For payments
made by credit card, ‘Epic Attractions’ will appear on your
statement.
To be eligible for the early bird discount, you must register
prior to 31 July 2008 and your registration must be fully paid
prior to 14 August 2008. All early bird registrations that are not
paid in full by this date will be converted to the standard rate
and an invoice for the balance will be issued.
All payments must be received in full prior to attending the
conference to gain entry to the conference. You are not considered
to be registered for the conference (including associated
workshops, social events and tours) until you have paid in
full.
Cancellations for the full registration, or any part of the
registration received on or before 28 August 2008 will incur a $100
(incl GST) administration fee. Cancellations received between 28
August 2008 and 11 September 2008 will incur a fee of 50% of the
item(s) cancelled. All cancellations on or after 11 September will
not be eligible for a refund. All alterations or cancellations must
be made in writing to aiec@epicattractions.com or faxed to +61 2
9281 0284.
All fully paid registrations are transferable to other persons
from the same organisation. Transfers can be made by the registered
person in writing to Epic Attractions at aiec@epicattractions.com or
faxed to +61 2 9281 0284 no later than 25 September 2008. Details
must include the full name of the replacement person, their title,
contact phone number and email address. All other registration
details will be carried to the new person unless otherwise
specified. This includes optional tickets, dietary requirements,
and other special requests. Transfers notified after 25 September
2008 or at the time of registration at the conference will incur a
$10 name badge re-printing fee.
Registration fees do not include insurance of any kind.
IDP reserve the right to reject a registration without giving
reasons or to terminate a registration at anytime.
Privacy
Registrant’s names and contact details will be used as
follows:
- for notification of conference-related matters;
- publication of a delegate list which will be given to all
delegates attending the conference (name, organisation and
country/state of orgin);
- subject to strict conditions of use by Epic; and
- will not be used for any other purpose without the consent of
the registrant.
If you do not wish for your details to be included in the
delegate list, please tick the ‘opt out’ option on the registration
form.
By providing your email address, registrants agree to receive
emails in relation to this and future events of this type. You may
choose not to receive such emails at the time of registration by
ticking the ‘opt out’ option on the registration form.
If you wish to opt out of receiving such information at some
time after the conference, you may select the opt out option at the
bottom of the any email sent to you and return that email to IDP
not Epic.
Cancellation of conference by IDP
It may be necessary for reasons beyond the control of IDP or
Epic to alter the times, dates, itineraries or speakers of the
conference by notice to you at any time. In the unlikely event of
cancellation of the conference, the maximum liability of IDP or
Epic is limited to a refund of the conference registration fee with
no additional liability for travel costs, hotel costs, or any other
costs or expenses whatsoever. In the unlikely event of cancellation
or postponement of the conference due to circumstances beyond IDP
or Epic’s reasonable control including but not limited to, acts of
terrorism, war, acts of God and natural disaster, IDP or Epic
cannot be held responsible for any cost, damage or expense which
may be incurred by registrants as a consequence of the event being
postponed or cancelled.
It is strongly recommended that registrants take out insurance
at the time of registration to include any eventuality including
but not limited to loss of fees through cancellation of
registrant’s participation in the conference or through
cancellation of the conference, loss of airfares through
cancellation for any reason including airline or related services,
strikes, loss or damages to personal property, force majeure or any
other reason.
Accommodation
All accommodation/travel payments in relation to the conference
are collected by Epic on behalf of the accommodation/travel
provider. To book accommodation, you must provide your credit card
details or make a payment in full. Epic takes reasonable steps to
protect the credit card details it holds from misuse, loss,
unauthorised access, modifications and disclosure. Payments and
credit card details will be forwarded to the accommodation provider
to secure your booking and you will be required to settle the
account during your stay. Credit card details will be destroyed in
a secure manner when they are no longer needed by Epic to secure
your booking.
Accommodation bookings will close on 28 August 2008 (or earlier
if sold out) and will be finalised with the accommodation provider
If there are any cancellations or alterations to the booking after
this time, you must contact the accommodation provider directly to
make those changes.
Full or partial accommodation cancellations made after 28 August
2008 are subject to cancellation fees up to the full value of the
accommodation cancelled.
The following specific conditions apply to each of the
conference hotels. Please contact Epic if additional information is
required:
For Rydges South Bank,
Chifley at Lennons and Royal Albert Hotel, if cancellation is made
after 28th August, the cancellation charge is equal to one night’s
accommodation. If cancellation is made after 18th September, the
cancellation charge is equal to the cost of the accommodation
cancelled.
For Saville South Bank and
Sebel & Citigate King George Square, if
cancellation is made after 28th August, the cancellation charge is
equal to one night’s accommodation. If cancellation is made after
25th September, the cancellation charge is equal to the cost of the
accommodation cancelled.
For Sofitel Brisbane, if
cancellation is made after 25th September, the cancellation charge
is equal to the cost of the accommodation cancelled.
For Oaks Festival Towers
and Oaks Charlotte Towers, if cancellation is made
after 28th August, the cancellation charge is equal to the cost of
the accommodation cancelled.
For The Marque Hotel and
Hotel George Williams, if cancellation is made
after 18th September, the cancellation charge is equal to one
night’s accommodation. If cancellation is made after 25th
September, the cancellation charge is equal to the cost of the
accommodation cancelled.
For Sebel Suites, if
cancellation is made after 25th September, the cancellation charge
is equal to one nights accommodation.
For Hilton Brisbane, if
cancellation is made after 25th September, the cancellation charge
is equal to the cost of the accommodation cancelled.
Liability
Registrants attend the conference at their own risk. Registrants
agree not to hold IDP or Epic liable for any losses, damages,
expenses, costs, claims or liabilities suffered or incurred by
registrants including consequential or indirect losses or loss of
profit through registering for the conference, attending the
conference, cancellation of the conference, failure of the
conference to achieve your expectations, or for any error or
omission by IDP or Epic. Registrants agree not to hold IDP or Epic
liable or responsible for any personal injury (i.e. physical,
psychological or emotional stress) or any loss or damage to
personal property.
General conditions
IDP and Epic reserves the right to change these terms and
conditions at anytime without prior notice. These terms and
conditions will be governed by and construed in accordance with the
laws of the state of New South Wales, Australia and the parties
submit to the jurisdiction of the courts of that state.
